A Property Management Platform Gained a Realistic Agentic AI Architecture Plan in Two Days

A property management and renovation marketplace had an ambition of adding AI to its platform but the team had no clear understanding of the technology, architecture, or implementation path. They knew AI could help their business grow and add value to their platform, but the “how” was unclear. A structured AI workshop changed all that in just two days. The client got a plan rooted in their business goals, and a realistic roadmap to get there.

The client needed a solid plan to convince investors to develop AI features

The client was caught in a difficult position. They were eager to add AI-based features to their platform, yet they lacked the right skills to create a plan that doesn’t eat up their resources pretty fast. Poorly designed AI systems, especially the ones that are based on LLMs could quickly generate high maintenance costs and become difficult to scale.

On top of that, the team had no structured way to prioritize opportunities or assess technical feasibility, leaving them uncertain about which initiatives to pursue. They needed a partner who could design a ready-to-implement AI strategy and produce a plan convincing enough to gain investor confidence. Without this clarity, their AI ambitions risked becoming a costly “black box” experiment.

In just 48 hours, the client worked out a 12–24 month AI roadmap

To navigate the complexity of AI and avoid resource-draining missteps, the client partnered with DAC.digital, a partner who designed and executed a two-day AI Discovery Workshop. The workshop brought together the client’s decision-makers, DAC.digital’s deep learning specialists, and a workshop facilitator. As a tool, all participants were using a shared Miro board to maximize collaboration.

Over two structured sessions, the client:

  • Mapped business priorities and tied them to specific AI opportunities;
  • Assessed feasibility using real-world technical constraints and industry benchmarks;
  • Prioritized initiatives based on impact, dependencies, and ease of implementation.

During these sessions, stakeholders explored high-value AI opportunities across the platform. They planned predictive property management and automated vendor matching to visual renovation tools and tenant-focused discovery. Each idea was evaluated for technical feasibility and alignment with business value.

What would normally take weeks of planning was achieved in two days, giving the client confidence to move forward, reduce execution risk, and make informed investment decisions.

The 60+ page AI brief as the unexpected bonus

Beyond the roadmap, the client received a comprehensive LLM agentic architecture brief that comprised over 60 pages of actionable recommendations.

The document included:

  • Estimated implementation timelines and milestone maps;
  • Proposed system architecture and infrastructure requirements;
  • Cloud deployment strategies and integration guidelines;
  • Security and compliance checklists.

The AI brief served as a ready-to-use investor deck and execution guide. By connecting technical recommendations to business impact, the client could confidently present a credible AI strategy to investors, who now had a complete view of the roadmap and technical plan without needing follow-up questions or clarifications.

What could have been years of trial-and-error became a two-day sprint

For the client, what could have taken years of experimentation and planning was condensed into a two-day AI Discovery Workshop. By the end of the sprint, they had a professional roadmap for AI initiatives that outlines business opportunities, fits technical constraints, and is fully investor-ready.

The client could confidently present the plan to investors, who now had a complete, detailed view of the roadmap and technical strategy, with no need for follow-up questions or clarification. This gained confidence to get the buy-in they need to start their development.
